KoboToolbox & ODK data quality monitoring

Catch field-data problems while the survey is still running.

For teams collecting data through KoboToolbox or ODK Central that need a secure, repeatable way to monitor submissions, investigate review signals, document cleaning decisions and deliver an analysis-ready dataset.

WHO THIS IS FOR

NGO monitoring and evaluation teams · Field research managers · Public-health programmes · Survey coordinators

WHAT YOU SEND
  • A clear objective or decision
  • Relevant de-identified files or study context
  • Deadline, required output and known constraints
WHAT RMA DOES

Connect the project safely → Map the deployed form → Activate quality checks → Review before correcting → Deliver an auditable output

TURNAROUND LOGIC

Timing is confirmed after the objective, source material, complexity, review needs and deadline have been assessed.

PRICE / QUOTATION

The fee is based on accepted scope, complexity and deliverables. The same quotation logic applies regardless of country or nationality.

DATA HANDLING

Do not send identifiable or confidential records through the public enquiry. Minimum necessary access and a secure transfer route are agreed before intake.

NOT INCLUDED
  • Fabricated data or guaranteed findings
  • Work beyond the written scope
  • Unsupported legal, clinical or regulatory claims
POST-DELIVERY SUPPORT

Substantial projects include one review meeting and a defined correction window stated in the written scope.

What you leave with

Clearer work. A more confident next move.

  • A secure live connection to the NGO-owned KoboToolbox project or ODK Central form
  • Submission, enumerator, timing, completeness and available GPS review in one project-isolated workspace
  • Dataset-aware checks for required fields, ranges, choice codes, duplicates and skip-logic inconsistencies
  • A human review queue that treats unusual patterns as signals rather than automatic proof of misconduct
  • A traceable cleaning log plus clean Excel, CSV or SPSS-ready outputs for analysis and reporting

The session flow

01

Connect the project safely

A dedicated project credential is encrypted, restricted to the correct NGO workspace and verified against the selected Kobo or ODK project.

02

Map the deployed form

We review fields, choice lists, versions, indicators and the rules that matter to your field and reporting teams.

03

Activate quality checks

The workspace monitors incoming records for agreed completeness, range, logic, timing, duplication and location-review signals.

04

Review before correcting

An analyst or approved reviewer records decisions so automated suggestions never silently overwrite the original data.

05

Deliver an auditable output

The team receives a cleaned working copy, issue register, decision history and reporting-ready export while the raw source remains recoverable.

Questions, answered

Is the ODK Central connector live?

Yes. It authenticates with a dedicated ODK Central Web User, lists published projects and forms, reads submissions through OData and routes each selected form into the correct NGO project workspace.

Does Research Metrics Africa change our Kobo or ODK records?

The standard workflow keeps the original source intact. Cleaning decisions are applied to a separate working copy and recorded in the audit trail.

Can it monitor GPS and enumerator patterns?

Yes, where those fields were collected lawfully and are relevant. The system can flag repeated coordinates, accuracy concerns, timing patterns and unusual movement for human review, not as automatic accusations.

How is client data separated?

Every organization and project is isolated. Access is role-based, files are private, downloads are time-limited and the audit trail records who uploaded, reviewed, approved or deleted an asset.

ONE CONTROLLED STANDARD

Review the quality and reliability method behind the service.

Scope acceptance, immutable source data, issue decisions, assumption checks, human QA and versioned reporting are part of the operating model.
